How it fits together

One student, followed from the first application to the last receipt.

Everything a school records is connected, so nothing is typed twice and nothing gets lost between the office, the classroom and home.

What a student learnsWhat a family paysBoth end at the parent's phone.
Grades

Grades that are checked before parents see them.

Teachers enter scores in a gradebook. The principal reviews them and publishes when they are right. Parents only ever see what has been published.

  • Scores below the pass mark stand out at a glance.
  • Report cards print on official A5 sheets, ready to fold.
Fees

Know who has paid, and what is still owed.

Invoices come from the school's fee plan. Payments can be full, half or by instalment, and every payment produces a receipt.

  • Balances update the moment a payment is recorded.
  • Parents see their own balance and receipts on the portal.
Entrance exams

Entrance exams that start with a six-character code.

Publish an exam, share its code or link, and applicants take it on any phone or computer. The timer runs on the server, so it cannot be paused.

  • Multiple-choice and true or false are marked instantly.
  • Essays wait for a teacher, who marks them in the same screen.
School websites

Every school gets its own address and website.

The school's public site, news and gallery live at its own SmartScho address, and lead parents, students and staff straight to their portals.

  • Each school's records are kept separate from every other school's.
  • The school controls its own pages, photos, colours and menu labels.
Everything in the box

One system for the whole school day, already built.

No add-ons to buy, no second system to learn. Admissions, the gate, the classroom, the bursar's desk and the parent's phone all work from the same records.

Admissions and student records

From the first application to a complete student file.

  • Online application form that goes straight to the registrar
  • One admission number format for the whole school, with your own prefix, like SLA-2026-0650
  • Photo, parents, guardian, emergency contact and health notes on every record
  • Student and parent sign-in created in one click
  • ID cards made from each student's record, with photo, QR code and school logo
  • Renumber old students safely, with an undo button

Attendance and the school gate

Mark the register in seconds, or let the QR pass do it.

  • Students and staff sign in and out with their own QR pass, scanned on the gate phone or tablet
  • Arrivals after your late time are marked late on their own
  • A second scan records when the student leaves, and how long they were on campus
  • One tap sends the parent a WhatsApp message from the gate
  • Holidays and closed days are respected, and a printed register has signature lines

Grades and report cards

Scores are checked and published before any parent sees them.

  • Teachers enter scores in their own grade book
  • A reviewer checks them and a publisher releases them, period by period
  • Scores below the pass mark stand out at a glance
  • Report cards print on official A5 sheets with the school logo
  • Transcripts and promotion lists from the same records

Fees, invoices and receipts

Everyone can see who owes what, down to the instalment.

  • Invoices for one student or a whole class at once, with instalments
  • Payments and printed receipts that carry the school logo
  • Amounts in US dollars and Liberian dollars
  • Old-student discounts and scholarships taken off the right fee automatically
  • Parents see their own balance and receipts on the portal

Cash, balances and expenses

The bursar always knows where the money is.

  • Outstanding balances sorted by how late they are: 1-30, 31-60, 61-90 and 90+ days
  • A prepared WhatsApp reminder to the mother, father or guardian, and a record of when it was sent
  • Daily cash-up by cashier and payment method, counted against what the till should hold
  • Expense ledger with receipt photos; nothing is deleted, only voided with a reason
  • Fees collected, money spent and the net, side by side

Teachers and staff

Everything a teacher touches in one place on their phone.

  • Teachers Portal for timetable, attendance, grade book and conduct
  • Timetable built once and shown to each teacher and class
  • Staff check in and out by QR, with late arrivals flagged
  • Payroll and printed payslips with the school letterhead
  • Lesson plans and class subjects managed by the school
  • A resource library where teachers keep and share notes and materials
  • Online assignments and make-up work set by the teacher

Entrance exams and computer-based tests

Run an exam day without a computer lab or accounts.

  • Applicants start with a six-character code, with no account to create
  • Multiple choice, true or false and short answers are marked the moment they finish
  • Essays wait for a teacher, who marks them in the same screen
  • The timer is kept by the server and answers are saved as the candidate goes
  • Computer-based tests (CBT) for students, marked automatically
  • Results by exam with filters, and a download for Excel

Parents and students

The portal parents actually open, because it works on a phone.

  • Fees, receipts and report cards in one sign-in
  • Installs on the home screen like an app
  • Notices and messages from the school
  • Reminders and alerts for parents: fees due, arrival and departure, and school notices
  • Students open their assignments and make-up work from the portal

Control and safety

The school stays in charge of who sees and does what.

  • Roles and permissions down to each page, for every kind of staff member
  • See who is connected right now, and the busiest moment of the day
  • An activity log of what was done and by whom
  • Every school's records are kept separate from every other school's
  • Strong password rules and a profile page for each user
Details that save a school's day

Built from how schools really run, not from a feature checklist.

Block a pass at the gate

Fees unpaid or a discipline matter? Block the student's QR pass in one click. The guard sees a red screen and a neutral message, and every attempt is logged with the guard's name.

Discounts and scholarships, applied

Old-student discounts and sponsored scholarships come off the invoice as their own lines, never more than the fee itself. No calculator, no mistakes.

Know the till at 4 pm

The daily cash-up shows what each cashier collected by method and what the till should hold. Close the day, and any late payment is flagged.

See who is connected now

The administrator sees how many staff, teachers, parents and students are online, and what page they are on, refreshed every few seconds.

See it with your own school's numbers A demo takes about thirty minutes.
Roles

A place for everyone who works in the school.

Each person signs in and sees only the tools that belong to their job.

Registrar

Enrolment, classes and subjects, promotion at the end of the year, transcripts, and printed ID cards.

Principal

Review grades before they are published, follow attendance and conduct, and read reports across the whole school.

Teachers

A gradebook, attendance, conduct, homework and exams, in a portal that shows only the tools a teacher is allowed to use.

Parents and students

Report cards, fees, homework and announcements, on a portal that works well on a phone.

Access follows the role

The school decides who can open which page.

Switch pages on or off for any role, from a phone or a computer. A teacher never sees the payroll, and a parent never sees another family's balance.

Made for the phone in your pocket

Parents and students do most of their work on a phone, so the portals start there.

Results the day they are published

Parents are told when a report card is ready, and can open it straight away.

Fees without a queue

Balance, payments and receipts are always on the portal.

Questions

Things schools ask us.

Does every school get its own website?
Yes. Each school has its own address, such as yourschool.smartscho.com, with its own news, gallery and records, kept separate from every other school.
Can we decide what each staff member sees?
Yes. The school chooses which pages each role can open, and can change this at any time from the roles and permissions page.
Can we run entrance exams online?
Yes. Applicants sit the entrance test on a phone or a computer using a short code, and results come back to the school.
Do parents have to install an app?
No. The parent and student portal opens in the phone browser, so there is nothing to download.
Will you help us set up and train our staff?
Yes. We create the school, enter classes, subjects, staff and fees with you, and train each team on the parts they use.
How much does it cost?
It depends on the size of the school and the modules you use. See the plans above, then request a demo and we will prepare a quote.

See it with your own school's classes.

Tell us about your school and we will show you the platform using your classes, your subjects and your fee plan.
